Scenehire Privacy Policy
Scenehire, Inc. ("Scenehire", "we", "us", or "our") provides software that helps production companies and production teams manage crew onboarding, contracts, documents, communications, schedules, payment records, and related production workflows (the "Services").
This Privacy Policy explains how we collect, use, disclose, retain, and protect personal information when you visit our website, use the Services, receive a Scenehire task link, communicate with us, or otherwise interact with Scenehire.
1. Information we collect
Information provided by production teams
We may collect information that production-company users provide to create and operate a Scenehire workspace, including:
- Name, work email address, phone number, company name, job title, and login credentials
- Production details, including project names, locations, schedules, call times, departments, and crew assignments
- Crew and vendor information entered by a production team, such as names, contact information, roles, work dates, rates, deal terms, payment status, and notes
- Contracts, deal memos, releases, W-9s, invoices, receipts, insurance records, production documents, uploaded files, and communications
- Internal approvals, comments, tasks, reminders, and activity history
- Support requests, survey responses, demo requests, and other communications with Scenehire
Information from crew, vendors, and task recipients
If a production team sends you a Scenehire link, we may collect information you provide through that link, including:
- Name, email address, phone number, role, company or loan-out entity, and other contact information
- Electronic signatures, acknowledgments, uploaded documents, forms, invoices, receipts, and other content requested by the production team
- Task completion status, time stamps, and communications relating to the task
Crew members and vendors do not need a general Scenehire account to complete a task unless Scenehire specifically indicates otherwise.
Inbox and third-party integration information
If an authorized user connects an email account or other third-party service, Scenehire may access, process, and store information made available through that integration as authorized by the user and applicable third-party terms. This may include email metadata, message content, attachments, contacts, calendar information, or files needed to provide the Services.
Payment-related information
If a production team chooses to use an optional payment feature, payment services may be provided by Stripe or another payment provider. Scenehire may receive limited payment-related information, such as payment amount, currency, payee name, payment status, transaction identifiers, and payout status.
Scenehire does not directly store full payment-card numbers or bank-account information when those details are collected through a payment provider’s hosted flow. Stripe’s own privacy and services terms govern personal data Stripe processes in connection with its services.
Automatically collected information
When you use the website or Services, we may automatically collect:
- Device, browser, operating system, IP address, and approximate location information
- Log data, usage activity, pages viewed, actions taken, referring URLs, and error reports
- Cookie and similar-technology information
2. How we use information
We use personal information to:
- Provide, maintain, secure, and improve the Services
- Create and administer Scenehire workspaces and user accounts
- Send task links, document requests, reminders, notices, and service-related communications
- Organize production records, contracts, documents, approval workflows, and payment-status records at a customer’s direction
- Enable authorized integrations, including inbox connections and optional payment-provider workflows
- Respond to support requests, demos, and other inquiries
- Detect, investigate, prevent, and address fraud, security incidents, misuse, and technical issues
- Comply with applicable law, lawful requests, and enforceable legal process
- Enforce our Terms of Service and protect the rights, safety, and property of Scenehire, our users, and others
- Send marketing communications where permitted by law; you may opt out of marketing emails at any time
We do not sell personal information for money. We do not use crew or production data to advertise to crew members or vendors on behalf of unrelated third parties.
3. How we disclose information
We may disclose personal information:
- To the applicable production team: Crew, vendor, and task-recipient information is visible to the production company or authorized workspace users that requested or collected it.
- To service providers: We use vendors that support hosting, storage, communications, customer support, analytics, authentication, e-signature, and payment processing. These providers may process information only as necessary to provide services to us.
- To connected integrations: When an authorized user connects a third-party service, information may be shared with or received from that service as directed by the user.
- For legal and safety reasons: When we reasonably believe disclosure is required by law, legal process, or to protect the rights, safety, security, and property of Scenehire, our users, or others.
- In connection with a corporate transaction: If Scenehire is involved in a merger, financing, acquisition, reorganization, bankruptcy, or sale of assets, information may be transferred as part of that transaction.
- With consent or at your direction: For any other purpose disclosed to you and authorized by you.
4. Customer-controlled production data
Production companies decide what crew, vendor, contract, communication, and production information they upload or collect through Scenehire. In most cases, the production company is responsible for determining the legal basis for collecting and using that information and for responding to requests from its crew, vendors, and other contacts.
If you are a crew member, vendor, or other task recipient and have questions about information a production company entered into Scenehire, contact that production company first. We may direct privacy requests relating to customer-controlled data to the relevant production company.
5. Data retention
We retain personal information for as long as reasonably necessary to provide the Services, comply with legal obligations, resolve disputes, enforce agreements, and maintain appropriate business records.
Customer content is retained while the applicable customer account is active and thereafter according to our customer agreement, account settings, applicable law, and legitimate operational needs. We may retain limited information after deletion where necessary for security, fraud prevention, legal compliance, backup, or audit purposes.
6. Security
We use reasonable administrative, technical, and organizational safeguards designed to protect personal information. However, no method of transmitting or storing information is completely secure, and we cannot guarantee absolute security.
Users are responsible for maintaining the confidentiality of their login credentials, using strong passwords, and promptly notifying us of suspected unauthorized access.
7. Your choices and rights
Depending on your location and applicable law, you may have rights to request access to, correction of, deletion of, or a copy of your personal information, or to object to or limit certain processing.
To submit a request, email us at info@scenehire.com. We may need to verify your identity and may not be able to fulfill every request where an exception applies.
You may opt out of promotional emails by using the unsubscribe link in the message. You will still receive transactional and service-related messages, including document requests or payment-status notices initiated by a production company.
8. Cookies
We and our service providers may use cookies and similar technologies to operate the website and Services, remember preferences, understand usage, improve performance, and protect against fraud.
You may control cookies through your browser settings. Disabling cookies may affect certain features of the Services.
9. Children’s privacy
Scenehire is not directed to children under 13, and we do not knowingly collect personal information from children under 13. If you believe a child has provided personal information to us, contact us at info@scenehire.com.
10. International users
Scenehire is based in the United States. If you access the Services from outside the United States, your information may be transferred to, stored in, and processed in the United States or other countries where we or our service providers operate.
11. Changes to this policy
We may update this Privacy Policy from time to time. If we make material changes, we will provide notice as required by law, such as by posting the updated policy and revising the effective date.
